Job Overview:
The Administrative Assistant plays a critical role in supporting construction project operations from initial contract processing to final project completion. This position acts as a liaison between the sales team, customers, and construction team to ensure efficient scheduling, documentation, permitting, and customer satisfaction. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced environment.
What You Will Do:
· Review and process new sales contracts; ensure accuracy and completion of documentation
· Serve as the first point of contact for customers after contract signing and maintain ongoing communication
· Coordinate project schedules, deliveries, and pre-construction meetings
· Prepare and submit permitting documentation
· Maintain and organize job folders, budgets, timelines, and material lists
· Set up and finalize projects with proper scheduling, vendor coordination, and documentation
· Submit manufacturer warranties and update CRM post-project
· Process various payments throughout multiple project timelines
· Provide office support, including answering calls, scheduling appointments, and managing files

· Proficiency in basic office software (e.g., Microsoft Office, Adobe Acrobat, etc.)
· A valid driver’s license and a reliable vehicle are a must. Background checks are required to ensure the safety and security of our team and customers. Prior experience in the industry is not necessary!
