Job Description

A dynamic company in the commerce sector is seeking a highly organized and proactive Executive Assistant to support its leadership team. The ideal candidate excels in fast-paced environments, manages sensitive information with discretion, and demonstrates exceptional multitasking abilities.

Location: Century City, CA (Onsite Monday–Thursday, Remote on Fridays)

Type: Freelance / Contract covering Mat Leave

Experience Level: 1–3 years

Key Responsibilities:

  • Manage and prioritize busy executive email inboxes, surfacing urgent and high-priority items
  • Schedule and coordinate meetings, calls, and appointments across multiple time zones using Outlook
  • Arrange domestic and occasional international travel, including flights, accommodations, and itineraries
  • Assist with personal appointments and errands as needed (e.g., reservations, deliveries, scheduling)
  • Maintain executive calendars and proactively manage conflicts or changes
  • Prepare meeting agendas, notes, and follow-up action items as requested
  • Act as a liaison between executives and internal/external stakeholders

Qualifications:

  • 1–3 years of administrative or executive support experience, preferably in fast-paced or client-facing settings
  • Strong proficiency in Microsoft Outlook, Word, and Excel
  • Excellent written and verbal communication skills
  • Outstanding organizational and time management abilities with proven multitasking skills
  • High level of discretion and professionalism when handling confidential information
  • Comfortable supporting both professional and occasional personal assistant tasks
  • Self-motivated with a proactive approach to problem-solving
