We are seeking a highly organized and detail-oriented Administrative Assistant to join our client's team during their busy season. This role is critical in ensuring smooth operations across order processing & tracking, customer & vendor management, and shipping assistance. Key Responsibilities:
· Receive and process customer orders accurately and promptly.
· Track order status from initiation to delivery, ensuring timely fulfillment.
· Monitor and record payments, reconcile invoices, and maintain accurate financial records.
· Follow up on outstanding payments and assist with resolving discrepancies.
· Set up new vendors in QuickBooks and maintain vendor profiles.
· Communicate with vendors regarding order details, timelines, and payment terms.
· Maintain organized records of orders, invoices, and vendor agreements.
· Assist with general office tasks and provide support to the operations team as needed.
Qualifications:
· Two or more years of proven experience in administrative or order management roles.
· Proficiency in QuickBooks and MS Office Suite (Excel, Word, Outlook).
· Strong attention to detail and ability to manage multiple tasks simultaneously.
· Excellent communication and problem-solving skills.
· Ability to work independently and as part of a team.
Hours: 10am to 4pm, Monday to Friday (Some flexibility on schedule)
Location: Clearwater, FL 33762 (Onsite only)
Duration: Estimated for at least six months
